Cancellation/No Show Policy for Group Classes

Pilates for Life has a 24 hour cancellation policy. 

Clients can cancel a scheduled session from the app or online site at any time. However, if it is less than 24 hours, clients may be charged for the class. If clients cancel less than 24 hours from the scheduled group class, an email will be sent stating a charge has been applied to the client's account.

The email reads as follows:

Dear Amy,

You missed Saturday Pilates Reformer Group Class Botkins on 12-09-2023 from 7:00 AM to 7:50 AM with Jamie Meyer. A class has been deducted from your membership.

The email will contain the scheduled class, time and instructor's name. Once received, respond to this email, text Katie's cell (above) or one of the studio phone numbers. This is a great feature of the new scheduling system. When clients cancel themselves, they are removed from the class which opens a spot for someone else to book or add someone from the wait list. If the client does not notify Katie or the studio phones with a reason for not attending class (sick, family emergency, etc.), a charge will be incurred.

A charge may be applied for reasons listed below.

● I did not receive a reminder

● I double booked myself and cannot fit a class into my schedule today

● I am stuck at work and cannot make the scheduled class

It is possible that there is a client on a wait list for that specific class. If so, responding to the late notice email can alert another client to take the spot and eliminate a late charge for the client trying to cancel. Pilates for Life will attempt to fill vacant spots, but there is no guarantee.

At this time, text reminders are not a reliable feature in the scheduling app. However, emails are a consistent reminder of upcoming scheduled classes. Please check your profile within the scheduling system to ensure the email and phone number are correct as well as the "Subscribe to Text Messages" box is checked. If a client has booked a class, it is the client's responsibility to remember the class date, time and location.

Cancellation/No Show for Private and Duet Classes

Private and Duet clients cannot book themselves, but they are able to cancel themselves through the App at any time. They can also check the scheduled time and location from the App. There is not a late cancel/ no show charge if canceled less than 24 hours at this time for private and duet clients, but this policy could be subject to change.

Advanced Reservations Using App

(Scheduling Future Group Classes)


Click Menu

● Click Schedule Recurring Classes (Advanced Reservation page)

● Select class (example: “Pilates Group Class Botkins”) using drop down box

● Under Recurring Options, keep the drop box to read “1” in the first box and “week” in the second box.

● Click time of day to attend class

● Select the start date and end date for this class reservation

● Click Make Recurring Reservation

● "Please confirm the reservation times and dates below" and then Click Confirm Reservation


Tips when making Advanced Group Class Reservations:

● If multiple times of day are chosen within the same day, you will be added to each of those classes. Usually, this error is detected. If undetected, a charge will be applied to each class booked.

● You cannot book yourself twice in one time slot on a given day.

Remaining Group Classes

Click Menu

● Click Purchase Classes

● Click arrow (>) button on far right

A Description of classes will appear

Total Classes represent the number purchased in that set.

Used Classes represent how many classes have been completed as well as assigned to future classes.

Remaining Classes represent how many are left for use in the purchased set. Refer to this option when needing to purchase more sessions.

Un-Assigned Classes represent sessions left, but have not been assigned to future classes.
